Operations Manager (Part-Time)

Planet Indonesia is an international non-profit dedicated to conserving at-risk ecosystems through community-led governance. Planet Indonesia is governed by two legal entities working in partnership. Yayasan Planet Indonesia (YPI), as the implementing arm of our work, is domiciled in West Kalimantan, Indonesia, and Planet Indonesia International (PII), a 501c3 registered non-profit, which is a support agency focused on fundraising, outreach, and technical assistance based in the United States. Our mission, vision, values and principles are shared between the two entities.
This position is with the PII team.
Position Overview:
Planet Indonesia is seeking an Operations Manager to join our PII team on a part-time basis. The Operations Manager will play a crucial role in ensuring the smooth functioning of the organization by overseeing and assisting with administrative, financial, and logistical aspects of projects and operations for the seven members of the PII team. The ideal candidate will have strong organizational abilities, excellent internal communication skills, and an understanding of the needs and operations of an NGO.
Key Responsibilities:
1. Administrative Management:
Implement administrative policies and procedures to streamline operations and ensure compliance with organizational standards.
Help to coordinate and schedule occasional meetings, workshops, and events, primarily online.
Provide support to staff members and volunteers as needed, including assistance with travel arrangements and accommodation.
Managed timecards for three employees with PEO Justworks.
2. Financial Management:
In collaboration with the Development and Management team, assist with budgeting requests.
Manage the day-to-day relationship with the Planet Indonesia accountant, including monthly financial coding for reports.
Monitor expenditures and financial transactions of 7 team members, ensuring accuracy and adherence to budgetary guidelines, through PEO Justworks and Via Platforms.
With an accountant, manage invoices, oversee salary payments and financial record keeping.
Prepare quarterly, financial reports and statements for internal and external stakeholders.
Coordinate with external auditors and regulatory authorities to ensure compliance with financial regulations and reporting requirements, annually.
Ensure compliance and submission of yearly tax statements and forms for employees and to the IRS - managed through accountant Jitasa and PEO Justworks.
3. Logistical Support:
With YPI team, coordinate transportation and logistics for donor and research visitors and answer any queries.
Maintain inventory records for organization equipment.
Ensure compliance with safety and security protocols for remote workers and events.
Qualifications:
A bachelor's degree in Business Administration, Management, Finance, or a related field or significant experience in similar roles.
Proven experience in operations management, preferably in the nonprofit or international development sector.
Strong organizational skills and attention to detail, with the ability to manage multiple tasks simultaneously.
Excellent communication and interpersonal skills, with the ability to work effectively with diverse colleagues.
Proficiency in financial management and budgeting software.
Fluency in English both written and verbal.
